Life happens. This Extenuating Circumstances Policy describes situations in which G Motion Rentals Inc may waive standard cancellation fees and host-cancellation penalties because the cancellation is caused by an unforeseen event genuinely beyond the affected party's control. This policy applies only to bookings on the G Motion Rentals Inc platform and only when documentation is provided.
The following are considered extenuating circumstances when properly documented: (a) the death of the renter, host, or an immediate family member (parent, sibling, child, spouse, or domestic partner); (b) serious illness, injury, or hospitalization of the renter, host, or an immediate family member that prevents the trip; (c) jury duty, court summons, or active military deployment for which advance notice was not reasonably available; (d) natural disasters, severe weather, or government-declared states of emergency that make travel to or from the trip location impossible or unsafe; (e) terrorist attacks, civil unrest, or other major safety incidents at or near the trip location; (f) any state, federal, or international travel restriction, border closure, or quarantine order that takes effect after the booking was confirmed; (g) a documented vehicle defect, safety recall, or mechanical failure discovered shortly before the trip that makes the vehicle unsafe to operate (host-initiated only); and (h) any similar situation that, in G Motion Rentals Inc's reasonable discretion, qualifies as a genuine extenuating circumstance.
The following are NOT considered extenuating circumstances: (a) personal cancellation of work or vacation plans not caused by an event in §2; (b) a change of mind, personal preference, or financial difficulty; (c) a missed flight or train caused by the renter's own delay (use the flight-delay provision in the Cancellation Policy instead); (d) routine traffic, weather inconveniences that do not prevent travel, or local events that are merely inconvenient; (e) cancellation by the host to accept a higher-priced or competing booking; or (f) any event the affected party knew or reasonably should have known about at the time of booking.
To claim an extenuating circumstance, the affected party must email gmotionrentals@gmail.com within 7 days of the event (or as soon as reasonably possible if the event itself prevented earlier notice) with the subject "Extenuating Circumstances" and include: (a) the booking number, (b) a description of the event, and (c) supporting documentation — for medical events, a doctor's or hospital's note; for deaths, an obituary or death certificate; for jury duty, the official summons; for natural disasters or travel restrictions, an official government notice or news source; for safety recalls, the manufacturer recall notice.
We review each claim individually and respond within 5 business days. If the claim is approved, we will waive the applicable cancellation fee and refund or credit any amount already charged. We may also pay the host a goodwill amount if the cancellation was through no fault of the host. If the claim is denied, we will explain the reason in writing. You may appeal a denial by replying to our denial email with additional documentation; appeals are reviewed by a different team member and resolved within an additional 5 business days.
G Motion Rentals Inc reserves the right to deny extenuating-circumstances relief to users who have a history of repeat or apparently improbable claims, or who have provided documentation that turns out to be falsified. False claims may result in account suspension and referral to the appropriate authorities.
